Boys Soccer Booster Club 3/11/14 Meeting Minutes Urgent Business: • Officer Vacancies o John Drewes will be President o Melissa Gibson will be Treasurer o Chris Woolfolk will remain Vice President and Andrea Boland will remain Secretary • Concession Stand Coordinator Needed: o Nuria Dooley will do this o Need to make arrangements to get a key to the Concession Stand o Need volunteers to sign up for shifts at home games o Sign-up Genius will be setup and used to manage volunteers • Bylaw Review Committee Needed: o Beth Clingenpeel, Nuria Dooley, and Andrea Boland will be on this committee Old Business: • Gatorade Donation o Received and picked up o Gatorade is to be used by the players (not for the Concession Stand) • Applebee’s Pancake Breakfast o $724.12 earned Treasurer’s Report: • Checking balance - $6751.77 • Savings balance - $6768.45 New Business: • Website – need someone to keep the website up to date WBHS Boys Soccer Booster Club Meeting Minutes February 20, 2014 Business: Budget • Revised to cover “must have” items • Will phase out the book grant • If new nets are needed, the cost will be split with the Girls Soccer Club • Practice balls are not needed this year • Will try to get Gatorade donated again this year. Plan for 40 High School players and 25 Middle School players. If we get the donation, we will need to find someone to go pick it up • Motion made and seconded to approve budget; unanimously approved Revenue Plans • Noted that last year’s revenue included $3500 from Bingo and $1900 from Concession Stand • Applebee’s Pancake Breakfast planned for 8 – 10 March 1 o 12 – 15 volunteers needed o Sell tickets for $6 with a profit of $3 o Takeout is an option o Will also put out Tip Jars and Terrier water bottles for sale • Suggestion made that we contact Bellacino’s about a fundraising night since it has been difficult to make contact with Buffalo Wild Wings • Need to get the information about Kroger cards for fundraising • Other suggestions: o Online auction/ebay o Grants/Crowdfunding (www.gofundme.com) o Yard Sale in parking lot o Sell items such as chip clips, shirts, hoodies (need to design to appeal to non-soccer audience) o Bloop fundraising night; McDonald’s and Bojangles also options o Carwash Website • Will need to find someone to keep this up to date • Could also use Website to advertise items we are selling Soccer Practice • M – F, 3:30 – 5:00/5:15 • Scrimmages 3/4/ and 3/10 Next Meeting • March 11 after Spring Sports meeting • Need to have a Concession Stand signup sheet available • Need to have a Fundraising Plan • Desired items: • Banquet (JV and Varsity) • Book Grant (need to scale back on amount, possibly phase out) • Items from past year to be removed from this year’s budget (can put on a “wish list” and fund if able) • Shoe allowance • Wishlist Items: • New orange uniforms • New JV bags Fundraising Ideas • Note: All fundraisers have to be approved and scheduled through the school • Melodie Warren willing to lead Fundraising Committee • Buffalo Wild Wings – we would get a percentage of sales when patrons present our voucher; Tanglewood location allows vouchers to be handing out at the door. • Apparel – several other clubs are using a website which has selected items available and when parents order from the site, a percentage of the sale goes to the club. • Applebee’s Pancake Breakfast – Would need 15 volunteers to help morning of the breakfast • Yard Sale • Kroger card – Earn 5% of amount loaded onto gift cards linked to club account Action Items • Cindy Smith will call Buffalo Wild Wings to see about available dates • Melodie Warren will call Applebees about dates • Lisa Cunningham will contact Kroger for details about the Kroger card • Board will review the Book Grant amount determination and present an updated plan at the December meeting for discussion and a vote Upcoming Dates • Will schedule meetings on the first Thursday each month, but will have a different meeting date in December since the Christmas Parade is the first Thursday • Conditioning will be after school on Monday, Wednesday, and Thursday starting on December 2 WBHS Soccer Booster Club Meeting Minutes November 7, 2013 Attendees: All Board Members, 14 Parents, 2 Students Business: Treasurer: • Current balance on hand: $7500 (Checking) and $6600 (Savings) • Received request from After Prom Committee for donation ( we donated $200 last year) • Motion made to give $200 for After Prom was made and seconded; vote passed unanimously • Point was raised that we need to plan for future revenue (we can’t just use up the funds from previous years) • Motion made to start off with a budget to cover the “must have” items and a wishlist for other items wanted; motion seconded; vote passed unanimously Budget • We need to determine what items the Soccer Booster budget needs to cover and how to fund them • “Must have” items: • $1500 to employ 2 assistant coaches • Socks • Game balls • Trainer ($10 per player to cover supplies) • Away meals (approx. 3 away games;
